New to Key?

We are delighted to introduce our contracting partner, Key Portfolio ®. By working together, Capita and Key have developed a payroll solution, and industry first, that guarantees to increase our candidate’s take-home pay when compared to PAYE.


What is Key Portfolio?

Key Portfolio ® is what is known as an 'Umbrella service'. They enable temporary workers, like you, to claim work-related expenses which are treated as tax and National Insurance (NI) free amounts.

As these expenses reduce the amount of income tax and NI that is deducted from your pay, you can increase the amount you take home.


How to claim expenses

We have made it quick and easy for you to claim some of the most common expenses, including meals and mileage, which can be claimed on your Capita timesheet. You won’t even need to send receipts to Key when you claim these expenses but you must retain evidence of the expense being incurred*.

All other expenses, such as train fares or classroom materials should be claimed on Key Portfolio’s Expense Form. All you need to do each week is post your completed form to Key with the receipts to support your claim.

*Although Key Portfolio ® does not require sight of these receipts to support your initial claim, please ensure you retain receipts at home and keep a log of your mileage. Key will conduct regular random expense sampling in accordance with HMRC best practice and will request your receipts/evidence of expenditure if you are included in a sample.

Any expenses you do claim must be incurred wholly, exclusively and necessarily in the performance of your duties.


What type of expenses can you claim?

One of the many benefits of working through Key Portfolio ® is its compliant and comprehensive expenses process. There is a wide range of expenses you may be entitled to claim. Here are some examples:

  • Breakfast, daily subsistence (lunch), evening meal and mileage
  • Hotel, B&B or rented accommodation
  • Books & Journals
  • Subscriptions

There are additional expenses for Non-UK Nationals who meet certain qualifying criteria.

Already employed by Key?

If you are already benefitting from Key Portfolio®, you should remember to claim all your legitimate work-related expenses to maximise your take-home pay! Provided you have incurred the expense, use your Capita timesheet to claim for breakfast, daily subsistence (lunch), evening meal and mileage, where appropriate. Your timesheet should be posted to Capita on Fridays.
